This month brought in a lot of unique questions, particularly around the organization of different digital workplaces. Fall always brings new projects, and that can mean spinning up new project Spaces and Task Channels, as well as adding new people to the community. We'll look at a few questions surrounding that today.
The Advanced Search options let you filter by content type and Space, but some digital workplaces reserve Spaces for departments or offices, preferring to construct Pages to hold new projects, knowledge bases, or resources. The filtering on the advanced search is added after people already search, however. But the Search Box widget can apply those filters before you search, and even limit searches to items under a specific Page, giving people an easy way to search your files or wikis and quickly find what they're looking for.
Task channels are designed to help you manage projects, letting you assign and organize tasks for people in your digital workplace. Task templates are designed to make it easy to save and import tasks, letting you save all of the tasks in a channel and load them into any other Task Channel, including the same one they were saved in. This is commonly used for repeated sets of tasks, like onboarding or year end milestone tracking.
In order to save a task template, use the Action Button in the top right, and select the Channel template option for the ability to save, load, and manage the Task templates in the community.
Single Sign-On is becoming more and more popular as organizations want a seamless user experience between multiple services online. The question that comes up most often when moving to a Single Sign-On option though, is what happens to the accounts of people who are already using your digital workplace?
The answer is that it's an easy change. When a person logs in through your SSO, it will pass their identity to Igloo, either as an email address or a unique identifier. The Igloo platform will pick that up and associate it with their existing account. It can even create an account if they don't already have one. Logging in will also flag their account as being externally managed, so they'll need to use your SSO provider to manage their identity and reset their password if necessary, letting you manage them from there.
